How it works

Detect, plan, review, write.

Vinance imports Xero from the files you export, not through a live Xero connection. That is deliberate: you decide what leaves Xero, and there is no OAuth session to keep alive. Xero exports contacts, the chart of accounts, and inventory items as CSV, and its reports (Trial Balance, Aged Receivables, Aged Payables) export to Excel or PDF; the CSV and Excel versions are what Vinance reads.

Detect

Point Vinance at your Xero exports: Contacts, Chart of Accounts, and Inventory Items as CSV, plus the Trial Balance and the Aged Receivables/Payables detail. It recognizes Xero column names and account codes on sight.

Plan

Accounts keep their Xero codes, contacts are deduped, and items map to Vinance inventory. Anything already in your company is matched rather than duplicated.

Review

You see every account, contact, item, and outstanding document it will create, with your Trial Balance staged as one opening journal. Adjust the mapping before writing.

Write

Approve, and it writes in a single pass. Outstanding invoices and bills stay outstanding, ready to reconcile against the bank feed.

Frequently asked questions

Does Vinance sync live with Xero?

No. Vinance imports from Xero file exports (CSV for lists, CSV or Excel for reports) rather than the Xero API. You export, then import, which keeps you in control and means there is no live connection to authorize or renew.

Do my Xero account codes survive the move?

Yes. Account codes come across attached to their accounts, so if your team thinks of code 200 as Sales, it still is. Report layouts that depend on codes keep working.

What happens to my tracking categories?

They become Vinance dimensions. You can slice any report by them, not just the profit and loss, which is usually a step up from how tracking worked in Xero.

How are opening balances handled?

Your Xero Trial Balance is posted as a single dated opening journal with debits equal to credits, so your balance sheet on day one in Vinance ties back to your last Xero report.

Will my unpaid invoices and bills stay open?
